Best use case

OtterPilot for Sales — auto-joins sales calls, extracts deal-qualification insights, and syncs directly into Salesforce/HubSpot fields.

Limitations

Only 6 languages supported; the bot can fail in waiting rooms after roughly 12 minutes or if the host disables recording; hard 4-hour meeting cap; Otter's own help center acknowledges accuracy varies with accents, background noise, and overlapping speech.

Free tier ("Basic")

300 transcription minutes/month, 30-minute cap per conversation, only the 25 most recent conversations retained, 3 lifetime file imports, 20 AI Chat queries/month.

Privacy

States it "de-identifies user data before training our models," implying default training on de-identified data with a self-service opt-out in Account Settings. Enterprise workspaces are opted out by default.

Fireflies.ai

What it does

Joins meetings as a calendar-invited bot, or bot-free via a Chrome extension on Google Meet only; outputs transcripts and AI summaries.

Best use case

AskFred — a conversational AI assistant that answers questions against your meeting history, available even on the free tier.

Limitations

Only Google/Outlook calendar sync, one calendar per account; the bot cannot be hidden from the participant list; uploaded audio files get generic "Speaker 1/2" labels rather than real speaker identification.

Free tier

Unlimited transcription and summaries, but capped at 400 minutes of stored recording per team, 20 AI credits, a 2-hour per-meeting cap, and 720p capture.

Privacy

States a "Zero Data Retention" policy by default — meeting data is not used to train internal or external AI models unless you take action to allow it, rather than the reverse.

Fathom

What it does

Records and transcribes meetings via bot join (or a Mac-only beta bot-free desktop-capture mode), generating AI summaries and action items.

Best use case

High-volume, zero-cost call recording for sales/customer-success teams wanting a searchable, unlimited call library synced to a CRM.

Limitations

Bot-free mode is Mac-only beta; free-tier advanced summaries and "Ask Fathom" search are explicitly "limited use" per Fathom's own pricing page; a Google/Outlook calendar connection is mandatory to use the service at all, per its privacy policy.

Free tier

"Free forever" — unlimited recordings, transcriptions, and storage, but advanced templated summaries and Ask Fathom carry an unstated usage cap.

Privacy

May use de-identified data to train its in-house models by default, with a self-service opt-out in account settings. States it does not authorize third parties (OpenAI, Anthropic, Google, etc.) to train on your meeting content.

Granola

Granola

What it does

A desktop/mobile notepad app you start manually per meeting — it captures system and mic audio locally and merges it with your own typed notes into an AI summary. No bot ever joins the call.

Best use case

The only major tool here with zero visible "notetaker" bot in the call — it works with any conferencing platform since it isn't integrated at the platform level.

Limitations

Does not store audio at all after transcription, so there's no playback/re-listen feature unlike bot-based competitors; quality depends partly on you also typing rough notes; integrations (Notion, Slack, HubSpot) are locked to the paid Business tier.

Free tier ("Basic")

AI meeting notes, a limited (unquantified) meeting history, cross-meeting AI chat, note templates, multi-language support, and an explicit "opt out of model training any time" toggle — all at $0.

Privacy

States it does not allow third parties like OpenAI or Anthropic to train on your data; individual/Business users are opted in to Granola's own model training by default, with a clear opt-out. Raw audio is explicitly not retained post-transcription.

Notion

Notion AI

What it does

AI features embedded inside the Notion workspace app — in-page writing/Q&A, plus "Enterprise Search"/"AI Connectors" for cross-app search (Slack, Drive, GitHub) and a beta AI Meeting Notes feature. Not usable outside Notion itself.

Best use case

Cross-app Q&A with inline citations — one query surfaces cited answers pulled from Slack, Drive, and other connected tools at once.

Limitations

Connectors are explicitly "not meant to run complex calculations or perform data analysis" per Notion's own help docs; full AI features are gated to Business/Enterprise plans; deleted-source data can persist in the index for up to 60 days.

Free tier

Free and Plus plans get only a trial of Notion AI with no published ongoing quota. Full AI access requires the Business plan.

Privacy

"By default, Notion and its AI Subprocessors do not use Customer Data to train any models" — training is opt-in, not opt-out, which is the inverse default of most tools on this page.

Google

NotebookLM

What it does

Upload your own meeting transcripts, notes, and documents as sources, and it answers questions grounded strictly in that material — useful as a team knowledge base rather than a live meeting tool. See the Research tools page for its full profile.

Best use case

Turning a pile of past meeting transcripts and docs into one queryable knowledge notebook with citations back to the exact source.

Limitations

It does not join or record meetings itself — you have to bring transcripts to it from one of the tools above.

Free tier

Privacy

Flagged during research, not smoothed over: Fathom's exact advanced-summary free-tier cap, Granola's exact "limited meeting history" number, Fireflies' exact free-tier upload size limit, and Notion's exact free-trial AI quota are not published as precise figures by their makers — described qualitatively above rather than invented as a specific number.
